Policy Name: Student Employment

 

 

The University is committed to providing on-campus, part-time employment opportunities to students as a means for students to gain valuable work experience and meet their financial needs. In doing so, the University does not wish to compromise the academic performance of students and wishes to provide as many students as possible with the opportunity to obtain employment within the University. As such, those employing students should not expect students to work more than 10 hours per week in on-campus employment and shall not permit students to work more than 20 hours per week except in exceptional circumstances. Exceptional circumstances would exist in situations where academic departments and/or administrative units actively sought, but were unsuccessful in finding, other individuals capable of performing the required functions.

HIRING

  • Academic departments and administrative units are responsible for hiring students.
  • Notices of positions should be posted for a minimum of five days to ensure equitable access to employment opportunities and should include information on:
    -
    duties involved
    - approximate number of hours
    - term of appointment
    - rate of remuneration
    - application deadline and procedures
  • Departments and units will review applications, conduct interviews and select the appropriate candidates for positions.
  • Please note that all students must complete TD-1 and Direct Deposit forms in order to be paid. These forms are available at the Human Resources Office. Students should fill out these forms prior to doing any work for the University.

REMUNERATION

  • Effective July 1, 2001 the wage will be $6.25/hour. This rate includes 4% vacation pay.
  • Those jobs requiring additional experience or skills may be paid at a rate of $7.50/hour including 4% vacation pay. Unit Managers and Department Chairs must be able to demonstrate the need for the additional experience and or skills and establish that the student hired possesses the skills required.
  • In exceptional circumstances, (i.e. hiring qualified graduate students for marking or research related assistance) approval by the Department Chair or Unit Manager may be given for rates other than those mentioned above.
  • In exceptional circumstances, students may be required to work on statutory holidays. These students will be paid at a rate equal to one and one half times the regular rate of pay.

PAYROLL PROCESSING AND AUTHORIZATION

  • All payroll requisitions must be approved in advance by authorized signing officers for approved budget accounts. The authorized signing officers are academic department chairs or administrative unit managers. During exceptional circumstances such as vacation leave, signing authority may be delegated to another member of the department or unit. The department chair or unit manager should notify the director of human resources in writing of the delegation of signing authority and the time period covered.
  • Accounts used by signing officers must have sufficient uncommitted balances in order for payments to be processed.
  • The signing officers for JOBS grants will be the faculty member or administrative employee to whom the grant is issued.
  • All payroll requisitions must be forwarded to the human resources office no later than 4:30 p.m. on the Friday before the required pay date. The human resources office will not accept an email as authorization for payment.
